Hiring IceQuake
One accountable company, verified professionals, terms confirmed in writing before anything is assigned. The specifics come from the Production Support Services Agreement.
Who am I actually hiring?
IceQuake Studios. You engage one company, not a list of individuals. IceQuake scopes the production, sets the terms, assigns verified Network Partners to the work, oversees it, checks the result and delivers it. The partners execute under IceQuake’s standards; the accountability is ours.
What kinds of productions do you support?
Photography, videography and hybrid productions across Texas: second shooters, lighting technicians, production crew, equipment coordination and post-production editing, for brand content, commercial work, real estate, music video, events and private productions. If the roles you need are on the list, we can scope it; if you are not sure, ask.
How do I start?
Send the brief through the production support request or book a Production Support Call. No account, no commitment. Operations reads it, asks what is missing, and comes back with a scoped proposal.
What do you need from me to scope a production?
The role or roles you need, the city, the date, what the shoot is (project type) and roughly how long you expect to be on location, plus any scope notes. That is enough for Operations to confirm scope and start matching; anything else is worked out on the call.
Who is my point of contact during the production?
IceQuake Operations, from the first conversation to delivery. The crew on set reports to us, not to you, so you never coordinate several people yourself. If something changes on the day, you tell one person and we handle the rest.
Can I choose specific people, or browse the network?
No browsing: clients engage IceQuake, not an individual. Operations assigns partners by verified capability, market and availability, and a person confirms every assignment. If a partner was right for you last time, tell us and we will assign them again when they are available.
How is pricing set?
By a person, for your specific production, and confirmed in writing before anything is assigned. There is no automated quote. The estimator gives an indicative range only; the terms you accept on your Production Support Call are the ones that apply, and nothing proceeds until you have accepted them.
How and when do I pay?
Each production is confirmed in a written Booking Confirmation under the Production Support Services Agreement. The booking fee is paid in full before crew or equipment are dispatched, by card through Stripe or by bank transfer. Clients approved for corporate credit terms instead pay a 25% mobilization retainer at confirmation and the balance no later than 48 hours before call time.
What happens if I need to cancel or move the date?
More than 72 hours before call time: the 25% mobilization retainer is retained and the rest is credited to your account for a future booking. Between 24 and 72 hours: a 50% fee on the booking value. Less than 24 hours, or a no-show on the day: the full booking value. These tiers are in the agreement you sign, so there is nothing to negotiate on the day.
Do you provide equipment?
A booking can be crew only, equipment only, or both. Network Partners bring their own professional kit for the roles they fill; specialised equipment is arranged as a rental when a production needs it. Tell us what you already have and what you expect us to bring, and the Booking Confirmation will say exactly which.
Who will be on set?
Verified Network Partners: professionals who applied, were reviewed and interviewed, and signed IceQuake’s partner agreement, assigned by Operations to match your production’s roles, city and dates. Because IceQuake sourced and vetted them, the agreement asks you not to hire them directly for a year after the engagement; bring the next production to us and the same people can be assigned again.
What if something goes wrong on the day?
You contact Operations and we run the response. If a partner cannot make it, we work to assign a replacement from the network, and if none can be secured in time we tell you before the call time rather than letting you find out on set. Equipment failures, location hazards and scope changes are handled the same way: one call to us, a documented resolution, and the cancellation terms of your agreement apply only where they say they do.
Who checks the quality of the work?
IceQuake does, before you receive it. Every deliverable passes an IceQuake quality check before the booking can be marked complete and the files released; a partner’s own judgment is not the gate. If work does not meet the standard and cannot be corrected in time, Operations tells you directly and agrees the resolution with you.
Who owns the footage and the finished work?
You do, once the booking is paid in full. Every partner works under work-made-for-hire terms, so the rights in raw footage, edits and assets pass to you cleanly. Two conditions: anything you ask us to use that is not the crew’s own (music, fonts, presets, stock) must be licensed by you; and IceQuake keeps a licence to show finished, publicly released work in its own portfolio and case studies, never unreleased material.
How do I receive my files?
Deliverables are uploaded to IceQuake’s storage, checked against our quality standard, and then released to you by a secure download link sent to your email. Files are kept until you ask us to delete them; we will give notice before ever introducing a retention limit.
Is my project confidential?
Yes. IceQuake and you owe each other confidentiality over scripts, unreleased material, prototypes and non-public details for three years after the agreement ends, and every Network Partner is bound to confidentiality about client identities, unreleased footage, scripts and locations indefinitely. Partners communicate with you only through IceQuake’s channels.
Do I need insurance?
Yes, for the duration of a booking: commercial general liability cover of at least one million dollars per occurrence, with IceQuake Studios LLC named as an additional insured on request before dispatch. Productions involving drones, hazardous capture or specialised rentals need cover that extends to those risks, or an equipment rider.
What is IceQuake liable for if something goes wrong?
The agreement caps IceQuake’s total liability for a booking at the fees you paid for that booking, and excludes indirect losses such as lost revenue, delays, talent standby or re-shoot costs. That is why scope, insurance and the quality check are settled before the day rather than argued after it.
We have ongoing production needs. Do you do that?
Yes, as a commercial relationship rather than a different product. Engagements are project-based by default; organisations with recurring needs are set up under enhanced terms on the same agreement, arranged case by case. Start with one production, or tell us on the call what the year looks like.
Where do you operate?
Across Texas. Tell us the city and dates on the inquiry form and Operations will confirm whether we can cover it before you commit to anything.
Working With IceQuake as a Network Partner
Where your business ends and IceQuake begins, answered the way the Network Partner Agreement answers it.
What is IceQuake, for a production professional?
A managed creative execution network. IceQuake holds the client relationships, scopes the productions, sets the terms and assigns approved Network Partners to defined work. It does not replace your craft, your kit or your business; it puts scoping, coordination and logistics around them so you can take on productions your own baseline could not reach alone. It is not a marketplace and there is no browsing, bidding or pitching.
Who can apply?
Photographers, videographers, second shooters, lighting technicians, drone operators, editors, producers, equipment and rental providers, and production companies, based in Texas. The application asks what you bring, where you operate, how you work and how fast you can move.
What are the partner tiers?
Three operational tiers describe the level of accountability you can be assigned: Field Operator (executes assigned tasks), Crew Lead (leads on the ground and reports to Operations) and Studio Partner (a production company or studio that can lead a full production). The application determines your tier from what you tell us; it is a description of responsibility, not of pay or membership benefits, and it can change as your track record with IceQuake grows.
What does the application involve?
Five short steps and a portfolio link, not a résumé. You verify your email, tell us your roles, experience, market, availability and equipment, and submit. Operations reviews the application and portfolio against the roles you applied for, then invites you to a short phone interview you schedule yourself; IceQuake calls you. Approved applicants receive the Network Partner Agreement to sign and join with verified standing.
Who is the client’s point of contact, me or IceQuake?
IceQuake, for the whole project. You are assigned to a defined production with a written brief, and Operations stays the client’s single point of contact from scoping to delivery. If a client approaches you directly on set, you direct them back to IceQuake. Client relationships introduced through IceQuake stay with IceQuake during the agreement and for a year after your last booking.
Who sets the scope, the rate and the terms?
IceQuake does, in writing, before any work starts. Each booking reaches you as a Booking Confirmation stating the scope, your role, date, location and your rate. You accept or decline each one; declining never affects future offers. You are never asked to quote, negotiate or sell to the client.
How and when am I paid?
At the rate in your Booking Confirmation, once IceQuake has received the client’s cleared payment: within 14 business days of that for directly invoiced work, and after the platform releases funds for bookings that come through a third-party marketplace.
Do I have to accept bookings? Am I exclusive to IceQuake?
No and no. IceQuake is under no obligation to offer bookings and you may decline any booking for any reason without penalty. You remain free to work for anyone else, including IceQuake’s competitors, as long as it does not clash with a booking you have accepted.
Am I an employee?
No. Network Partners are independent contractors: you control how you do the work, you provide your own professional equipment, you handle your own taxes, and you are not covered by IceQuake’s employee benefits or workers’ compensation. IceQuake defines the deliverables and the criteria; you decide the method.
Can I bring my own crew?
Crew on an IceQuake production are IceQuake Network Partners, assigned by Operations. As a Crew Lead or Studio Partner you lead the production on the ground and coordinate them. People you already work with join the same way you do: apply, be reviewed, sign the Network Partner Agreement. You bring your own professional kit; specialised rentals are arranged when a production needs them.
Who owns the footage and the finished work?
Work produced on an IceQuake booking is work made for hire: the rights in raw footage, edits and assets belong to IceQuake and pass to the client. You keep full ownership of anything you created before or outside IceQuake work; where your pre-existing material ends up inside a deliverable, IceQuake gets a licence to use it as part of that work.
Can I show IceQuake work in my portfolio?
Yes, within limits: finished elements only, on your own non-commercial portfolio or website, once the client has paid in full and released the project publicly, and provided the client’s contract allows it. IceQuake can ask you to take something down, and you remove it when asked.
What does “verified standing” mean?
Operations has reviewed your application, portfolio and interview and confirmed the capabilities you are eligible to be assigned for. Assignment is by verified capability, market and availability, confirmed by a person every time. Standing is earned in review, not requested, and it is what the client is paying for.
What is Professional Membership, and do I need it?
An optional paid subscription for approved partners, billed through Stripe and managed from your partner portal. It is never a condition of joining the network or of receiving bookings; it adds priority consideration in matching and a visible verified standing. Fees are non-refundable once charged, and cancelling ends the membership benefits without touching your partner agreement or any confirmed booking.
Is there a referral program?
Yes. Approved partners can refer other professionals, clients, and larger organisations, and the person you refer names you on their form. Rewards are fixed-value and one-time or fixed-term, never a lifetime commission, and they are paid only after the referred booking is fully paid and past its dispute window. Larger referrals are handled case by case.
What is expected of me on set?
Follow IceQuake’s written production procedures for capture, asset management and backup; communicate with the client only through IceQuake’s channels; arrive on time; and wear clean, unbranded, dark professional attire suitable for crew work. You represent IceQuake on set, not yourself.
What am I bound to keep confidential?
Everything non-public you learn through IceQuake: client identities, unreleased footage, scripts, pricing and set locations. The obligation has no end date and survives leaving the network.
What about insurance and risk?
Production work is physical and the agreement is direct about it: you assume the risks of the set, and you are responsible for your own liability and equipment insurance, taxes and licences. Read Section 6 of the Network Partner Agreement carefully before signing; it is the section that shifts the most.
What if I cannot make a booking I accepted?
Tell Operations immediately, by phone, so a replacement can be assigned before call time. Reliability on accepted bookings is part of your record with IceQuake and shapes future assignment; Operations may stop offering bookings to a partner who does not show.
Can I leave the network?
Yes, at any time, with written notice, and IceQuake may end the relationship the same way. Leaving stops future bookings but does not cancel bookings already confirmed unless both sides agree. The confidentiality, non-solicitation, intellectual property and liability terms continue to apply afterwards.
How does the partner portal work?
You sign in with a one-time link sent to your email; there is no password. The account is personal and must not be shared. From the portal you see your projects, accept and start assigned work, upload deliverables, manage membership, and sign out.
